Facility Rentals and Visitor Services Coordinator

Paleontological Research Institution

Coordinate and serve as primary contact for all Facility Rentals at the Museum of the Earth and Cayuga Nature Center. Facility rentals include and are not limited to weddings, birthdays and graduation events.

  • Attend facility rentals as the PRI representative to tactfully enforce rules and maintain order to ensure safety of museum and nature center exhibits and event attendees/visitors.
  • Responsible for event from initial contact with customer to completion of event, with support and oversight of the Director of Visitor Services.
  • Ensure that all permits, contracts, invoices and insurance(s) have been obtained. Oversee event scheduling and post to appropriate calendars to ensure there are no conflicts.
  • Serve as customer service representative, provide weekend supervision, training and breaks for front desk staff. Complete membership sales, retail and admission sales, and daily revenue reports.
  • Answer general visitor inquiries.
  • Opening and closing of all systems, including the cash registers and exhibits.
  • Receive inventory, assist with inventory management, and additional operational procedures as assigned.
  • Attend facility rentals and PRI events.
  • Communicate and assist with marketing to grow rental revenue, including posts to social media.
  • Monitor visitor materials and displays in and around the Visitor Services desks.
  • Maintain cleanliness and appearance of visitor areas and appropriate behavior of visitors or rental guests.
  • Collaborate with staff regarding decisions about rental spaces and to improve the rental experience for customers.
  • Provide creative solutions to balance public exhibits with private events.

Physical Demands:

  • Office setting: Frequent sitting, standing, walking
  • Cleaning after events as needed to open to public the following day
  • Use of office equipment; computers, telephones, copiers, scanners
  • Lifting, pushing, or pulling items such as tables, chairs and exhibit cases
